Ledgerline

Bank-feed bookkeeping for freelance designers

Tax-ready invoices, built from your messy bank feed.

Ledgerline reads the export your bank already gives you, matches every transaction to the client and project it belongs to, and drafts the invoices your accountant will accept — with a paper trail attached to each line.

Fourteen days, no card. Ledgerline reads your statement; it cannot move money and never asks for your online banking password.

Four lines from one Friday's statement, as Ledgerline reads them.

Three passes, every month.

Ledgerline runs the same three passes over each statement you feed it. You approve anything it is not sure about; nothing reaches a client unsigned by you.

01

Import

Drop in a CSV, OFX or PDF statement from any bank, or connect a read-only feed. Ledgerline strips the terminal codes and reference noise, then keeps the original line sitting next to everything it derives from it.

02

Match

Repeat clients, retainers and card fees get matched by rules you can read and edit. New payers arrive as proposals with the evidence attached: amount, date, reference, and the invoice they most likely settle.

03

Issue

Approved lines become invoices with the right tax treatment per line, per currency, per client. Send the PDF, pull a quarterly summary, or hand your accountant a folder they can audit in one sitting.

What actually lands in your inbox.

Three things, every month: the invoices, a tax summary, and the trail that connects them back to the bank. Here is a real shape of the first one.

Invoice INV-1048 Wren Studio · due 14 May
Description Qty Rate Amount
Brand refresh — discovery workshop 1 $1,200.00 $1,200.00
Brand refresh — logo suite, three directions 1 $2,400.00 $2,400.00
Printed materials for the client meeting 3 $18.40 $55.20
Subtotal $3,655.20
Sales tax (8.875%) $324.40
Total due $3,979.60

Built from four transactions between 3 April and 27 April. The $3.10 FX fee from the same week is logged as a deductible expense instead of being billed on.

  • Client-ready PDF invoices that carry your own logo, numbering and payment terms, not ours.
  • A quarterly tax summary split into income, purchases and deductible bank charges.
  • An audit trail tying every invoice line back to the transaction that produced it.
  • A plain CSV of the whole lot, in the layout your accountant already asks you for.

Where Ledgerline is the wrong tool.

Most of this page is about what the software does. This part is about when to close the tab.

  • You bill one client on retainer and nothing else. A repeating invoice template and a spreadsheet will cost you less attention than a second system.
  • You are VAT-registered somewhere we do not cover. Ledgerline handles US sales tax and UK and EU VAT at launch. Outside that, the summary is a starting point, not a filing.
  • You run payroll. This is invoicing and expense sorting for one-to-three person studios. Salaries, pensions and contractor onboarding belong somewhere else.
  • You want the software to decide. Ledgerline deliberately stops and asks. If you would rather never look at a transaction, you will find that friction irritating.

Priced per studio, not per invoice.

Both plans include the audit trail and the export. What changes is how much you push through and how many currencies you touch.

Questions worth asking before you import a statement.

Does Ledgerline connect to my bank?

You can import statements yourself — CSV, OFX or PDF — and that is the only route during the trial. Read-only connections run through an aggregator and cover most UK and EU banks; US coverage is partial and we would rather say so than oversell it. The connection can read balances and transactions. It cannot move money, and we never ask for your online banking credentials.

What happens to the transactions it cannot classify?

They queue for review with the raw bank line, the amount, and any candidate matches Ledgerline found, each with a reason. Nothing is invoiced until you approve it. Every decision you make becomes a rule you can inspect, edit or delete later.

Is this tax advice?

No. Ledgerline prepares numbers and keeps them traceable. It flags categories; it does not tell you what you owe. Your accountant, or your local tax authority, has the final word — which is exactly why the trail is built so they can check your work in minutes rather than asking you for screenshots.

I bill in two currencies. Does that break it?

No. Ledgerline records the rate on the day each transaction settled and keeps the original amount beside the converted one. Bank FX fees become their own deductible lines instead of being quietly folded into an invoice total.

Where does my data live, and how do I get it out?

Statements and invoices are encrypted at rest in the region you pick when you sign up: UK or EU at launch. You can delete a client, a month or the entire account from settings, and deletion is immediate rather than a support ticket. Export everything as CSV whenever you like.

How long does a month actually take?

The first run is the slow one, because the software is learning your clients. After that, most people spend under ten minutes per invoice run: skim the review queue, approve what looks right, send. If a month takes longer than that, the rules are wrong and we want to hear about it.

Start with last quarter's mess.

Send one statement — the ugliest one you have. We will return the invoices Ledgerline would have drafted from it, and the list of lines it would have asked you about. If it is not useful, all you have spent is an email.
