Invoicing for freelance designers
Your bank feed already knows who owes you.
Ledgerline reads the transactions you already have, ties each one to a client and a project, and drafts the invoices your accountant keeps asking for — in January, not in a panic.
Read-only bank access. No card needed to try it. Your ledger stays yours — export or delete it whenever you like.

I — The mess
The mess, named.
"SQ *MARLOWE PRESS LTD". "FPS O ADEYEMI". "WISE PAYOUT 88213". Somewhere in that list is a logo you finished in March, an invoice you never sent, and a coffee you will attempt to claim.
Accountants ask for a whole year at once. So every January you rebuild the same story out of a banking app's search box, an ageing spreadsheet, and three email threads — and hand over something you are not entirely sure is right.
What actually lands in the feed
-
Payments that never became invoices
Money arrived, the work shipped, the paperwork never happened.
-
One client, four spellings
Card processor, bank transfer and Wise — three formats for the same person.
-
Income tangled up with expenses
Software, stock photography and train fares sitting in the same column.
II — How it works
Three moves, once each.
Set-up takes an evening. After that, Ledgerline repeats the same three steps every time money moves.
-
01
Connect the account, not the spreadsheet
Link your business account with read-only access. Ledgerline pulls the last twelve months and keeps pulling, so there is no month you forget to import.
-
02
Teach it your clients once
Match one payment to a client and a project, and Ledgerline remembers the payer string, the usual amount and the reference — including the ones that look nothing alike.
-
03
Draft, check, send
Every unmatched payment becomes a draft invoice with the right client, date, line item and tax treatment. You approve it or correct it; the trail stays attached to the figure.
III — What it does
Built for the way designers actually get paid.
Deposits, part-payments, foreign clients, and a tax year that refuses to line up with your projects.
-
Matched on more than a name
Payer strings, amounts, dates and project references are weighed together, so "SQ *MARLOWE PRESS" still finds Anna Marlowe.
-
Deposits and part-payments
A 50% deposit is reconciled against the final balance instead of looking like two unrelated payments from the same client.
-
Tax treatment you can defend
Income, expenses and pass-through costs are separated, each with its category and the underlying evidence attached.
-
Multi-currency without the guesswork
Foreign payouts are converted at the rate that applied on the payment date, and that rate is recorded beside the figure.
-
Unmatched stays visible
Anything Ledgerline cannot justify waits in a short review queue. Nothing is filed on a hunch and nothing is quietly dropped.
-
Made for the accountant conversation
Export a clean general ledger, an invoice list and the full transaction trail as CSV or PDF, ready to hand over.
IV — Security
Read-only, and it stays that way.
Ledgerline connects through your bank's own read-only aggregation. It can see transactions. It cannot move money, and it never holds your banking password — the connection token lives with the provider, not with us.
- Read-only access — no payment initiation, ever.
- Bank credentials never touch Ledgerline servers.
- Encrypted in transit and at rest, with access logs you can read.
- Export everything, then delete your ledger whenever you want.
V — Pricing
Priced for one person with a laptop.
Every plan includes unlimited draft invoices, CSV and PDF export, and the full transaction trail. Cancel whenever — the ledger you built is still yours.

VI — FAQ
Questions designers ask first.
Does Ledgerline connect to my actual bank?
Yes — through your bank's own read-only aggregation, covering the major UK and EU business accounts. You approve the connection inside your bank, and Ledgerline receives transactions only. It can never initiate a payment.
What happens to a payment it cannot place?
It goes to the review queue with whatever clues exist — payer string, amount, date, nearby invoices. You either match it in one click or leave it. Nothing is categorised on a guess, and nothing is deleted.
Is this instead of an accountant?
No. Ledgerline produces the records an accountant needs and keeps the evidence attached to every figure. It deliberately does not give tax advice; anything unusual still belongs with a professional.
I invoice in euros and dollars. Does that break it?
It does not. Foreign payouts are converted at the rate that applied on the payment date, and that rate is stored beside the amount so the figure can be explained later.
Can several people share one ledger?
The Practice plan adds up to five seats plus a read-only link you can hand to your accountant. Each person gets their own login, and every change is attributed.
What if I want to leave?
Export the general ledger, the invoice list and the raw transaction trail as CSV or PDF, then delete your data from settings. There is no export fee and no retention argument.
Send your first invoice this week.
Connect an account, match a client, approve the draft. If January-you would have found it obvious, Ledgerline is doing its job.
